Calculate Room Price and Send your Booking Request

How it works
We have developed a price calculator where you can easily see the rental price for your event – simple and with no surprises. You will be able to calculate the rental price and send a booking request directly using the form built into the calculator.


Prices for renting the room:

Introduction prices (when giving member discount) – For events between May 1. to August 31.

There is a 50 % discount during this period.

B-time 

(Weekdays before 18:30)
Base price (includes the first 2 hours): 75 kr

Price per extra hour: 37.5 kr


Minimum member discount 50 k

A-time 

(Weekdays after 18:30 and weekends)
Base price (includes the first 2 hours): 200 kr

Price per extra hour: 75 kr


Minimum member discount 100 kr


Normal prices (when giving member discount) – For events from September 1.

B-time 
(Weekdays before 18:30)
Base price (includes the first 2 hours): 150 kr

Price per extra hour: 75 kr


Minimum member discount 50 kr

A-time 

(Weekdays after 18:30 and weekends)
Base price (includes the first 2 hours): 400 kr

Price per extra hour: 150 kr

Minimum member discount: 100 kr


Standard rental (without member discount)
2 hours – 720 kr
3 hours – 1080 kr
4 hours – 1380 kr
5 hours – 1680 kr
6 hours – 1920 kr
7 hours – 2160 kr
8 hours – 2340 kr
9 hours – 2520 kr
10 hours – 2700 kr

Important Rules:
No overlap:
 Booking cannot cross the 18:30 time line (with the member discount option). It must be either entirely B-time or entirely A-time.
Duration
: Minimum 2 hours and maximum 10 hours per booking.
Preparation
 time for setup and cleaning must be included in the booked time slot (we recommend 30 minutes before and after).

Promote your event:
It is your responsibility to promote your event. Therefore, make sure that you:
– Invite your network
– Boost your Facebook event
– Share your event in relevant groups on Facebook.


When you want to book an event in Hjerterum, please send us the following:

(You must use the form in the relevant price calculator above for events from May 1st. )

Event-Information:

  • Title of your event
  • Event text: for example the purpose, programme and a little about you as a teacher
  • Price and payment: clearly state the price for members and non-members. Also state how payment is made (for example MobilePay or cash), and whether payment takes place on arrival or in advance
  • Registration: should participants register via Hjerterum’s website (the Book function), or directly with you via email, phone or your own website?
  • Suggested dates: check the calendar here https://holistisk.org/kalendervisning/ and send several possible dates, as some may already be booked.
  • Time: write both the event start/end time and the booking start/end time. Remember to add time for preparation before the event and cleaning afterwards (typically about 30 minutes before and after)

    PR material:
  • Cover image for the event

  • Additional images (optional)

  • Link to your website or Facebook page (optional)

Requirements for the cover image:

  • The image must be royalty-free. We prefer not to use AI-generated images. 

  • If you do not have your own images, you can find some for example on unsplash.com (remember to choose “free”, otherwise the image has copyright)

  • Canva.com can be used for designing the cover image

  • Format: 1920 × 1005 px (Facebook cover format)
 File format: jpg or png (pdf files can be converted online)

Creating the event

  • N.B. It is only when we have received the payment from you, that we will start to set up your event. We will send you an invoice when we have made an agreement on a booking.
  • If you have a Facebook page (for example a business page), we prefer that you create the event there first and send us the link – this reduces administrative work (NOTE: only after your booking has been confirmed)
  • If you do not have a Facebook page, simply send the material to us. We will create the event on our website and Facebook page and send you the link.

Please send the material in good time before your event:
To have a realistic chance of attracting participants, we recommend planing/uploading your event 4–8 weeks in advance.

Be aware that it can take up to estimated 5 workdays to set up your event after we have received all materials for the event.
